JOB TITLE: Senior Officer on Academic Policy

REPORTS TO: Academic Registrar

PURPOSE: To provide support to the Academic Registrar in the management of the Academic Registrars office systems and the operation of the Academic Policy review and maintenance section. The post will oversee the systems compliance and processes compliance for the purposes of review, application and maintenance of the Academic Polices of the University and be the Secretary of the Academic Council and its Standing Committees.

CONTEXT: The Academic Registrars office has been reshaped in April 2012 and the post of Senior Officer on Academic Policy was created to develop a new area, one that ensures that the systems, in particular the Academic Council structure are developed and maintained. The post has achieved its purpose and now reviewed to provide further development of the area. As originally proposed the post will oversee the provision of analytical reports on the performance of the Academic Policies passed by the Academic Council, to enable the monitoring, review and development of such policies by the Academic Council its standing committees, and to assist the universities Executive Team to develop appropriate policies for the strategic management and operational excellence of the university. The post will also be the secretary of the Academic Council and its Standing Committees. As secretary this will mean the management of the committees with a team of colleagues as minute secretaries. In addition the post will serve as an independent reviewer of the application and compliance with the existing policies, procedures and regulations.

Principal Responsibilities

  • To be responsible for the development of systems and support services for the review of Academic Policies and their implementation
  • To support the Academic Registrar in preparation of reports, summaries and data for decision making purposes
  • To be responsible for the day to day oversight of Alfresco system, relevant sections of the Academic Registrar’s office e-admin portal, relevant sections of SRS and other e- and paper based systems supported by the office
  • To work with the other sections to ensure that the information support systems are developed and provide the intelligence for the monitoring of academic policies.
  • To oversee the administration of the Academic Council and its committees and manage the process of record keeping
  • To work with the Faculty and Executive to ensure that the level and quality of intelligence is appropriate and supportive of the decision making processes in the University
  • To be a secretary to the Academic appeals, re-Mitigating Circumstances, Assessment Offence Decision Appeals, Complaints, Disciplinary offences and other boards/panel meetings that review the correct application of the existing policy, procedures and regulations.
  • To be responsible for the keeping of the archived records and document retention policy
  • To undertake any other duties as required by the Academic Registrar or 1st Deputy Rector

Person Specification

The appointee should be able to demonstrate the following:

Qualification

  • 1st degree in an appropriate area and preferably a post graduate degree
  • English to high standard

Experience

  • At least 3 years experience of administrative support, preferably in an educational institution
  • Management of colleagues
  • Policy development
  • Committee servicing and secretarial support
