POSITION PURPOSE

  • Coordinate the administration, enrollment and communication of and adherence to procedures relative to Human Resources Management.
  • Provide a proactive and supportive Human Resources service, upholding the of Hotel and Departmental Goals.
  • Ensure the HR Department is approachable, helpful and meets the needs of our ‘customers’ at all times.
  • Assist Director of HR and HR team to develop and implement initiatives which embrace Company values and ensure that all employees are treated in a positive, fair and supportive manner and in compliance with legal requirements throughout their employment

ESSENTIAL FUNCTIONS

  • To maintain an ‘open door’ policy in HR and be personally available to all employees for work / personal problems, grievances, benefit requests, queries and suggestions.
  • To provide an advice service to both managers and employees on HR policies, legal requirements, staffing issues, and act as an arbitrator where necessary
  • Provide contracts of employment or letters of confirmation (for changes to employment contact) for all permanent and seasonal staff on completion of fully authorized documentation. Ensure all casual documentation is completed and forwarded to payroll in a timely manner.
  • To ensure all employee starting, change and termination information is accurately completed, entered onto systems/programs (1C, reporting files, People Soft, MyHR) and communicated to Finance/payroll department. Ensure Director of HR is informed of all starters, changes and terminations
  • To ensure all employee files are kept up to date - and to ensure confidentiality of employee information is maintained at all time, in line with Data Protection legislation and Policy
  • Update HR documentation, reporting and forms (Master Staffing list, etc) on a regular basis and ensure effective communication to the Director of HR
  • Process all HR-related documentation (e.g. orders of hiring, paid leave, sick leave, disciplinary actions, benefits documentation, employment termination) and preparation of monthly reports (as required by labor legislation, military service reporting, outstanding balance for paid leave, overtime hours and tracking of performance reviews completion)
  • To ensure all new employees are provided with all documentation, name badges, access card and other information ensuring a smooth introduction to the Hotel
  • Manage the Monthly Payroll Time Attendance Procedure of all departments in conjunction with Department Heads and Finance/Payroll department. Responsible for logging of all Time Attendance reports into 1C program for further payroll processing.
  • Communicate relevant HR information to Department Heads and employees on a regular basis (Birthday listings, staff events, etc).
  • To assist in planning and organizing social and community activities (Christmas Party, Summer Staff Party, community actions, etc) and take an active role in the Social Life of the Hotel

SUPPORTIVE FUNCTIONS

Supportive functions shall include but not limited to:

  • Assist with day to day operations of the HR functions and duties
  • The preparation of letters and other documents and correspondence using word processing, spreadsheet, database, or presentation software
  • Receiving and distributing all incoming mail.
  • Maintain accurate and efficient filing systems, ensuring timely, safe follow-ups and traces. Create and maintain computer-and paper-based filing and organization systems for records, reports, documents, etc.
  • Assist with special HR projects as needed
  • Follow all company policies and procedures, ensure uniform and personal appearance are clean and professional, maintain confidentiality of proprietary information, and protect company assets

SPECIFIC JOB KNOWLEDGE, SKILLS AND ABILITIES

The individual must be able to:

  • Maintain the strictest confidentiality at all times with regard to client, guest and personnel related matters
  • Be Highly professional in appearance, character and conduct
  • Put Attention to detail in terms of content, spelling and grammar of written correspondence
  • Possess excellent interpersonal and communicative skills and an ability to integrate into all levels of the organization
  • Strong administration and communication skills, both verbal and written
  • Must be highly computer literate with advanced knowledge of Microsoft Office programs and applications, including Excel, PowerPoint, Word, Outlook and Publisher
  • Ability to prepare and analyze data figures and transcriptions prepared on and generated by computer
  • Ability to maintain a high level of confidentiality at all times
  • The flexibility and willingness to learn
  • The ability to work as part of a team; high levels of organizational skills and efficiency

QUALIFICATION REQUIREMENTS:

  • Education: Bachelor’s Degree
  • Experience: Minimum 2 years’ experience in Human Resources related positons. Prior hotel experience preferred.
  • Must be able to speak, read, write and understand English, Russian and Kazakh
  • Strong knowledge of the labor law and legislation of the Republic of Kazakhstan
